Campfires guidelines are put in place for guest safety and to avoid forest fires on the island. Please read the following to ensure everyone has a safe and fun experience:

CAMPFIRES SHOULD NEVER BE LEFT UNATTENDED

CHILDREN ARE NOT PERMITTED TO BE LEFT UNATTENDED WITH A CAMPFIRE

These rules will be strictly enforced for everyone’s safety

Campfires are enjoyable and relaxing! However, fires of any kind increase risk to other guests and the island.
Fires are to be inside the firebowl provided and not to exceed the rim of the fire bowl. 

Any misuse of fire bowls or misuse of campfires will be met with a warning first followed by immediate removal from the The Retreat. Beaver Island Retreat Management reserves the right to extinguish fires at anytime.

Using the firebowl:

  • Fire bowls are to be used on the gravel provided and not relocated
  • Firewood and starter should always be contained within the bowl when lit to avoid the fire escaping from the contained area
  • Do not use broken tree limbs or debris in fire bowls
  • Do not burn trash, cans, or paper in fire bowls

Large fires that exceed the bowl rim in excess of 6″ will be extinguished

Children 16 and under:

  • Children are not permitted to be left alone with a campfire
  • Children are not permitted to start or maintain a campfire
  • Parents are responsible for ensuring their children remain a safe distance from the fire bowl/ campfire to avoid injury

Extinguishing a campfire:

  • Campfires must be extinguished prior to turning in or leaving the site
  • Campfires can be extinguished by burning down, using sand from your site, or water from the facility
  • The fire extinguisher provided at each site is in case of emergency and not to be used to extinguish the fire

We’d like to say “thank you” for helping us ensure a positive experience for our next guests by following our checkout procedures:

Day of Departure:

  • Return the Beaver Island map we’ve loaned to you
  • Empty your contents from the refrigerator
  • Wash any remaining dishes

Please report so we can repair/ replace damaged items ensure an amazing experience for our next guests:

  • Damaged or broken items
  • Ripped or soiled outdoor furniture cushions
  • Ripped or stained linens or blankets
  • Broken furniture
  • Damage to the tent

A $25 cancellation fee will be charged for any cancellation at any time after a reservation is made. 

Beaver Island Retreat may have to cancel your reservation due to unforeseen circumstances related to the safety of Beaver Island residents. If this is to occur, your deposit will be  fully refunded minus a $25 fee.

Standard Policy – Single Unit booking:

  • A 25% deposit is collected at the time of booking when made 30 days or more before arrival.
  • Your 25% deposit is fully refundable minus credit card fees and a $25 service fee for any reason 30 days or more before arrival.
  • Your 25% deposit is 100% non-refundable for cancellations received 1-30 days prior to arrival 
  • You may change the reservation date, within the same season and depending on availability, up to 30 days before arrival without penalty. One change is permitted per season. After a change, 100% of the deposit is non-refundable.
  • There is a 21-30 day waiting period for refunds to appear in your account.
  • Full payment is collected at the time of the reservation if made with less than 30 before arrival. For reservations made between 1-30 days of arrival, the entire booking amount is non-refundable.

Standard Policy – Multi-Tent Reservation

  • A 25% deposit is collected at the time of booking when made 30 days or more before arrival.

Beaver Island Retreat, LLC operates the Website BeaverIslandRetreat.com, which provides the information and booking options for our private glamorous camping property.

This page is used to inform website visitors regarding our policies with the collection, use, and disclosure of Personal Information if anyone decided to use our Service, the website of Beaver Island Retreat, LLC.

If you choose to use our Service, then you agree to the collection and use of information in relation with this policy. The Personal Information that we collect are used for providing and improving our Customer Service. We will not use or share your information with anyone for any reason. We may, however, use your information to contact you with upcoming events or booking opportunities.

We value your trust in providing us your Personal Information, thus we are striving to use commercially acceptable means of protecting it. But remember that no method of transmission over the internet, or method of electronic storage is 100% secure and reliable, and we cannot guarantee its absolute security.

Children’s Privacy

Our Services do not address anyone under the age of 13. We do not knowingly collect personal identifiable information from children under 13. In the case we discover that a child under 13 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we will be able to do necessary actions.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. Thus, we advise you to review this page periodically for any changes. These changes are effective immediately, after they are posted on this page.

We love your furry family member and are so glad that you’ve brought them along! In order for your glamping experience to be positive for all guests at the Retreat, please note the following:

  • Well-behaved pets are free to run on the grounds as long as they do not interfere with other guests or pets
  • We provide water/food bowls, pet mat, and doggie baggies for their business, all of which are all replenished as needed
  • Pets are permitted in tents and expected to sleep inside the tent with the family on the pet bed that we provide with your stay. This is for their safety.
  • Pets are never to be left unattended on the grounds and should travel with their owners during excursions on the island
  • Pets are not to be left unattended inside the tent as the material and screens could rip due to the force of your pet attempting to get out. This will result in owners being responsible for the full replacement value of the tent and any additional damage
  • Pets that have altercations with other pets or glampers will be required to be leashed for the remainder of their stay
  • Pets must be leashed within the town limits of St. James

Please note:

We suggest that your pet be leashed during the night if they leave the tent for business. This is to protect your pet from running off to that interesting sound in the woods or sustaining potential injury by other animals on the island. 

All guests are required to sign this legally binding document on check in. Additionally, by checking the box at checkout when making reservations, guests are indicating they have read this specific policy and agree to comply, even if the document is not signed at check in.

NOTICE: THIS IS A LEGALLY BINDING AGREEMENT. Read this document carefully and in
entirety. By signing this agreement, you give up your right to bring a court action to recover
compensation or obtain any other remedy for any personal injury or property damage however caused
arising out of your participation in any activities associated with Beaver Island Retreat, LLC
Campground, now or at any time in the future.
Participant Waiver, Release, Indemnification
of All Claims & Covenant Not to Sue
NOTICE: THIS IS A LEGALLY BINDING AGREEMENT. Read this document carefully and in
entirety. By signing this agreement, you give up your right to bring a court action to recover
compensation or obtain any other remedy for any personal injury or property damage however caused arising out of your participation in any activities associated with Beaver Island Retreat, LLC
Campground, now or at any time in the future.

In consideration of Beaver Island Retreat, LLC Campground (hereinafter referred to as “the
Campground”) furnishing accommodations, services, camping facilities, and/or equipment to enable me to
participate in camping or other recreational activities I agree as follows:
1. Acknowledgment of Risk: I, the Camper, fully understand that there are risks, hazards and dangers associated with the camping, services and public areas provided by the Campground. These risks include but are not limited to the uncertainties of the weather, hazards in the terrain, tent/structural failures, facility/bath house structure failure, collisions while traveling by vehicle, altercations with other people at the campground, including altercations with other participants in the same activity, use of amenities, including but not limited to, campfires, kitchen, appliances, tent kitchen, showers, restrooms, and with the uncertainty of conditions in an outdoor environment. If a pet is accommodated, any and all risks and hazards associated with interactions of animal to human, animal to animal, and animal to nature’s environment, are included in this acknowledgment of risk. I understand that the description of these risks is not complete and that other unknown or unanticipated risks may result in damage, injury, or death. I hereby acknowledge and agree that participation in activities at the Campground comes with inherent risks and I fully accept all of those risks. I have full knowledge and understanding of the inherent risks associated with participation, including but in no way limited to all of the aforementioned and: (1) slips, trips, and falls, (2) aquatic injuries, (3) athletic injuries, (4) nature related injuries, and (5) illness, including exposure to and infection with viruses or bacteria. I further acknowledge that the preceding list is not inclusive of all possible risks associated with the Campground participation and the above lists in no way limits the operation of this Participant Waiver, Release, Indemnification of All
Claims & Covenant Not to Sue (hereinafter referred to as “Agreement”). I AM VOLUNTARILY
PARTICIPATING IN CHOOSING TO STAY/PARTICIPATE AND AM USING THE SERVICES
OF THE CAMPGROUND WITH FULL KNOWLEDGE OF THE RISKS INVOLVED AND I
ACCEPT AND ASSUME ALL RISK OF THE ACTIVITIES AND SERVICES WHETHER OR
NOT DESCRIBED ABOVE, KNOWN OR UNKNOWN, FORESEEABLE OR UNFORESEEN. I
UNDERSTAND THAT THESE RISKS MAY INCLUDE LOSS OF PROPERTY OR INJURY TO
PERSON OR DEATH.
2. Coronavirus / COVID-19 Warning & Disclaimer: Coronavirus (hereinafter referred to as
“COVID-19”) is an extremely contagious virus that spreads easily through person-to-person contact. Federal and state authorities recommend social distancing as a means to prevent the spread of COVID-19. COVID-19 can lead to severe illness, personal injury, permanent disability, and death. Participating in the Campground activities or facilities could increase the risk of contracting COVID-19. The Campground in no way warrants that COVID-19 infection will not occur through participation in and use of the facilities of the Campgrounds.

3. Waiver, Release, Indemnification & Covenant Not to Sue:
a. In consideration of my participation at the Campground, I agree to release and on behalf of
myself, my heirs, representatives, executors, administrators, and assigns including but not limited
to all individuals accompanying me and acknowledge and sign below, including all minors in my
care or for whom I am parent, guardian, or temporary guardian (hereinafter referred to as “Legal
Ward(s)”), HEREBY DO RELEASE THE CAMPGROUND, its owners, officers, directors,
employees, independent contractors, lessors, volunteers, agents, representatives and insurers
(“Releasees”) of and from any and all causes of action, claims, legal liability or demands of any
nature whatsoever, whether the damages be known or unknown, anticipated or unanticipated due
to the Campground or Releasees’ ordinary negligence; and I do further agree that except in the
event of the Campground or Releasees’ gross negligence and willful and wanton misconduct, I
shall not bring any claims, demands, legal actions and causes of action against the Campground
or Releasees as stated above, for any economic and non-economic losses due to bodily injury,
death, property damage, sustained by me and/or my Legal Ward in relation to any activity
associated with the Campground, its operations, or its premises whether on or off the premises of
the Campground which I, my heirs, representatives, executors, administrators, and assigns may
have, now or in the future, against the Campground on account of, including but not limited to,
personal injury, property damage, death or accident of any kind, arising out of or in any way
related to the use of the Campground facilities or equipment or participation in any activities
whether that participation is supervised or unsupervised, however the injury or damage occurs,
including, but not limited to the ordinary negligence of the Campground and/or Releasees.
b. In consideration for my accommodations and use of facilities at the Campground, I, the
undersigned participant, agree to INDEMNIFY AND HOLD HARMLESS the Campground and
Releasees from any and all causes of action, claims, demands, losses, or costs of any nature
whatsoever arising out of or in any way related to my participation. I hereby certify that I have
full knowledge of the nature and extent of the risks inherent in participation and that I am
voluntarily assuming said risks. I understand that I will be solely responsible for any loss or
damage, including personal injury, property damage, or death, I sustain while participating and
that by signing this agreement I HEREBY RELEASE the Campround and Releasees from all
liability for such loss, damage, or death. I further certify that I am in good health and that I have
no conditions or impairments which would preclude my safe participation in activities at the
Campground.
4. Inspection of Premises: I have had either the opportunity to inspect or have actually inspected the Campground’s facilities, tent sites/ airstream site and am satisfied that the premises are reasonably safe for the intended purpose, usage and presence.
5. Medical Care in the Event of Emergency: In the event of an accident or serious illness, I authorize
the Campground and its Releasees to obtain medical treatment for myself or my Legal Ward. I hold
harmless and agree to indemnify the Campground from any claims, causes of action, damages and/or liabilities, arising out of or resulting from said medical treatment. I further agree to accept full responsibility for any and all expenses, including medical expenses that may derive from any injuries to myself or my Legal Ward. I provide my insurance information below and authorize the Campground and its Releasees to use the information in the event of an accident or serious illness.

I waive the request to provide accidental insurance information and policy number to the
Campground and hold harmless the Campground for this decision.

I, THE CAMPER, HAVE CAREFULLY READ, CLEARLY UNDERSTAND AND
VOLUNTARILY SIGN THIS AGREEMENT. I INTEND BY SIGNING THIS AGREEMENT TO
INDUCE THE CAMPGROUND TO PROVIDE SERVICES AND ACTIVITIES.
